- Your business name, contact details, and your VAT and company registration numbers if you have them.
- The client's name, contact details and the address where the work will be done.
- A quote number and date, so you can both refer to it later.
- How long the quote is valid, for example 30 days, so old prices can't be held against you.
- Each item on its own line: materials and labour separately, with quantity, unit price and amount.
- The subtotal, VAT (only if you're VAT registered) and the total.
- Your terms: the deposit you need, when the balance is due, and anything the quote doesn't include.
- A place for the client to accept, so there's no argument about what was agreed.
Tips that win more jobs
- Send it the same day. Clients often go with whoever quotes first.
- Be specific. "Supply and install 150L geyser" builds more trust than "Geyser work".
- Follow up after two or three days if you haven't heard back.
- Keep it professional: a proper PDF beats a price typed into a chat.
Should I add VAT to my quote?
Only if you're registered for VAT. If you are, show the amount before VAT, the VAT at 15%, and the total. If you're not registered, leave VAT off and set the VAT rate in the Excel template to 0%.
How long should a quote be valid for?
Many trades use 14 to 30 days. Material prices change, so a validity date protects you from being held to an old price.
Is a signed quote a contract?
A quote the client has accepted is good evidence of what you agreed. For large jobs, consider a written agreement too, and get advice if you're unsure.
